Free Employee Share Scheme electronic reporting file preparation

It's simple and gets the jobs done. You fill in the employer information and download and complete the employee bulk data Excel file. Our software then produces all the employee reports in printable format that are due on 14 July and the ATO eletronic report due on 14 August for you to lodge using your Auskey. The reports meet the new ATO specifications for 2016.

Reporting year: Eg 2016 for year ended 30 June 2016

Password: Note: You will need the password, reporting year and your ABN to access saved reporting files later. Minimum password length = 8.

1. Complete the employer information:

Run type: P for production file, T for test only

2. Download the Excel file to your hard drive.

Instructions:

  • Complete the employee share grant and vesting information for the year in the spreadsheet.
  • Use one row per employee record.
  • Do not use commas anywhere. (Adding commas prevents proper reading of the file contents because we use .csv file format.)
  • Always use whole dollars for values. Do not show the cents.
  • Enter dates in YYYYMMDD format without spaces, hypens or slashes.
  • For foreign addresses use 9999 as the postcode and OTH as state.
  • Hover over the reb tabs in the spreadsheet for extra instructions for individual items, or refer to the ATO specifications.
  • Note:

  • E = Taxed up-front scheme eligible for reduction
  • N = Taxed up-front scheme not eligible for reduction
  • D = Deferral scheme
  • P = ESS interest acquired pre 1 July 2009
  • S = Start-up concession
  • 3. Save the completed Excel file on your hard drive normally as .xls extention, and save again as .csv extention.

  • To search for a previously saved reporting file, you must at least complete the reporting year, password and ABN in the employer information at step 1.
  • The downloaded file is in .txt file format. Save the file to your hard drive, then open it in a word processor such as Microsoft Word, WordPad or Notepad.
  • Print all text at font size = 10 to fit each employee statement on a standard A4 page.
  • 6. Download and lodge the ATO file electronically through your Auskey by 14 August.
